Privacy Policy

Template — pending review by the site owner. This plain-language policy describes how Club Meeting Kit works today. It is not legal advice and may be updated.

The short version

• The free kit works without an account. What you type stays in your browser (localStorage) unless you sign in.
• If you sign in, we store your email address and the club data you choose to save, so your officers can share it.
• We do not sell or rent your data, and we don’t use it for advertising.

What we store

• Without an account: your club profile, history, agendas, action items and settings are saved only in your own browser. We can’t see them. Clearing your browser data deletes them, so export a backup if you need one.
• With a club account: your email address (used to send one-time sign-in links and invites), and club data: club name and type, profile (meeting time, location, officer names and contact you enter), agendas, drafts, templates, minutes, motions, attendance names, action items, member names, calendar settings, invites, and your role in the club.
• Technical data: basic logs kept by our hosting and database providers (for example IP address, browser type and timestamps) for security and troubleshooting.
• Newsletter or feedback forms: what you submit (such as your email and message).

Who can see club data

Members of your club account (owner, officers and viewers you invite) can see your club’s data. The site owner can see account-level details (club name, owner email, plan status, member count and activity dates) to run the service and can access data when needed for support, security or legal reasons.

Service providers

• Netlify hosts the website and form submissions.
• Supabase provides sign-in and the database for club accounts.
• Google Analytics counts visits to our public pages (home page, Privacy, Terms and guides) so we can see what helps people find us. It never runs inside a signed-in club dashboard and never receives your name, email, club or meeting content. Google signals and ad personalization are turned off. You can opt out with the Google Analytics opt-out browser add-on or by blocking cookies for this site.
• Stripe will process payments once paid plans launch. We won’t see or store your full card number. No payment information is collected today.

Cookies and local storage

We use your browser’s local storage to save your work and keep you signed in. Our public pages set Google Analytics cookies (named _ga) to count visits; they are not used for advertising. We don’t use advertising cookies, and no analytics run while you’re signed in. Opt out of Google Analytics.

Your choices

• Export your data anytime (club backup, Word, text).
• Ask us to delete your account or club: email shellardmark@gmail.com. Club owners can request a full backup before deletion.
• Opt out of analytics with the Google Analytics opt-out add-on.
• Unsubscribe from emails using the link in any newsletter.

Children

The service is for club officers and adult volunteers. It is not directed to children under 13.

Changes

If we change this policy in a meaningful way we will update this page and, for account holders, email you first.
